New Business:

1.      Meeting Respect - Lenny pointed out that at the last meeting we had a lot of side conversations, complaining, and talking over each other.  He reminded everyone that we should be showing respect for everyone’s opinion and listen to what is being discussed.  We should also be listening to the active discucssion on the floor so that we do not have to answer the same questions repeatedly.

2.      Treasurer’s report – We started the season with $1348.15, have earned $.06 in interest, and collected $990 in team/player fees, for a total of $2338.21.

3.      Fees – Player fee and team fees due and collected. Collected tonight $1440.

4.      Pay outs – tabled until next meeting.  Sue will bring the past three year’s payout totals to refresh our memories and assist in making new recommendations for payouts.

5.      Incomplete match – The current rule states:

CURFEW

a.    No game shall begin after the club’s curfew.  If a match currently in progress cannot be completed during the allowed time due to a club’s curfew the game shall be played until the next spot shot. The match will be suspended at this point.

b.    The opposing captains shall establish a date to complete the game(s) prior to the next Friday night’s play.  If the game(s) are not completed because the captains cannot agree to a make-up date, the league’s officers shall set the date that the game(s) is to be played.  The team that does not comply with the make-up date shall forfeit.  The same players shall participate and follow the same order of play at the same site at which the suspension of play occurred and the suspended game will resume with a spot shot.

To be added to the rule for scoring clarification:

c.      If the suspended match cannot be played at the agreed upon time due to players from the suspended match failing to show, the final score will be scored as  6--(pockets made) for the team that does show.  If both teams have players from the suspended match fail to show, the match will be scored as the pockets made for both teams.

As a reminder if a match needs to be suspended, just send Sue a text message so that she is aware of the suspended match and can post a comment accordingly.

Old Business:

1.       Prize fund inconsistency - In an effort to begin to create tournament prize fund consistency, Sue pointed out that there is a rule in the by-laws which states that the club hosting the tournament will pay a fee to the QCPL, $300 for singles and $500 for doubles.  She suggested that we enforce this rule but have the fee paid to the tournament prize fund, not the league. After a brief discussion it was voted that we re-instate the rule and apply this fee to the prize fund.  This fee will be considered the hosting clubs donation to the prize fund.

a.      Andre stated that he will go back to the Eastside’s board for approval.  Bob Tanner or George Tsoutsas will let Sue know the Eastside’s decision on whether they still want to host the doubles tournament.

b.      Cori stated the Cercle had no problem with this and will still host the singles.

It was pointed out that a lot of the inconsistency in the prize money comes from the fact that some clubs get more sponsors than others, run more raffles than others, and also pay Sue for her services directly while others include it in the tournament expenses.

Cori pointed out that the Cercle had an incentive for their board during the doubles in 2017 to get sponsors and gave a prize to the board member that got the most sponsors.  They also let sponsors know that the minimum donation to get their business/name on the shirt was $100 but if they gave more they would have a larger letter presence on the shirts.

Since there is such an inconsistency, it was recommended a committee be created from the QCPL to assist the clubs in running the tournament.  We will set up the committee from the league and determine what their responsibilities will be at the next meeting.

2.      Location of singles and doubles – Cercle – singles - confirmed, Eastside – doubles – will let us know based on the fact that we will again enforce the rule that hosting club pay a fee for the tournament.
